This policy explains what personal information Strategic Field Solutions LLC ("TailGateBid", "we", "us") collects through TailGateBid, why, and what choices you have.

Trade businesses use TailGateBid to run their work, so two kinds of people appear in it, and we treat their information differently:

  • People who use TailGateBid: the owners and team members of a business.
  • Customers of those businesses: people who receive a quote, an invoice or an appointment message, or who fill in a form on a business's website.

If you are a customer of a business that uses TailGateBid

The business decides what information about you is kept in TailGateBid and how it is used. We store and process it on that business's behalf. For questions about your information, or to have it corrected or deleted, contact the business first. If you cannot reach them, write to us and we will pass your request on.

What a business may keep about you: your name, phone number, email and addresses; notes about the work; quotes, invoices and the payments it has recorded; appointment times; photos of the job; and, when you approve a quote or a change order, your typed name or signature, the date and time, and the network (IP) address used.

Your private links (to a quote, an invoice or your account page) work without a password. Anyone who has the link can open it, so share it only with people you trust.

A photo of your property is shown on a business's public website only if you have agreed. A review you leave is shown only if the business approves it, and then with your first name and last initial.

A business may use our AI tool, Bid Partner, to help prepare your quote. If it does, photos of the job, a description of the work and the job's address are processed as described under "Who we share it with". A person at the business checks the quote before it is sent to you.

What we collect from people who use TailGateBid

  • Account details: your email address, your name and your language, and your mobile number if you add one to get sign-in codes by text. If you sign in with Google or Microsoft, we receive the name and email that service gives us, never your password.
  • Business details: the business's name, address, phone, email, licence number, logo and settings.
  • Team details: the names, job titles, phone numbers, short bios and photos a business adds for its people.
  • What you create: customers, price book, quotes, invoices, jobs, schedules, photos, receipts, website content, and the messages sent through TailGateBid.
  • Support requests you send us.
  • Technical records: the date, time, network address and browser of requests to the service, kept to run it securely and to find faults.

How we use it

  • To provide TailGateBid and the features you use.
  • To send sign-in codes and messages about the service.
  • To send the emails a business asks us to send to its customers, such as quotes, invoices and appointment reminders.
  • To keep the service secure and prevent abuse.
  • To fix problems and improve the service.
  • To improve Bid Partner, our AI bidding tool. We study records of the bids it has helped with: the amounts it suggested, how the business changed them, and the questions that were asked. We do not use customers' names, addresses or photos for this.
  • To answer support requests.
  • To meet our legal obligations.

We do not sell personal information, and we do not use it for advertising.

Cookies and similar storage

TailGateBid uses a small number of cookies that it needs in order to work: one that keeps you signed in, and one that remembers your language. Your choice of light or dark mode is stored in your browser. We do not use advertising or tracking cookies.

Who we share it with

  • Companies that run parts of the service for us, under contract and only for that purpose. Today that is Microsoft Azure, which hosts the application, the database, uploaded files and outgoing email.
  • An artificial-intelligence provider, which produces Bid Partner's drafts. When a business uses Bid Partner on a job, the photos, the description and the address of that job, and the business's own rates, are sent to that provider to produce the draft. When a business describes a service it offers in order to set up its rates, that description may be sent to the provider to work out which trade it is. We only use providers whose terms do not allow them to use this content to train their models.
  • The United States Census Bureau and the United States Geological Survey. To show a public aerial photo for a Bid Partner job, the job's street address is sent to the Census Bureau's public address service, and the map position it returns is sent to the Geological Survey's public image service. No name or other detail is sent.
  • The business you deal with, and the people in it who have been given access.
  • Authorities, when the law requires it, or to protect people's safety or our rights.
  • A successor, if TailGateBid is sold or merged, on the condition that this policy continues to apply.

A text-message provider delivers the texts we send, which today are the sign-in codes you ask for. It receives the mobile number and the words of the text, and nothing else.

If we add a payment company, we will describe it here.

When a business asks us for help, our support staff may open that business's account to assist. Each such visit is recorded.

Where it is kept

Information is stored in data centers in the United States. If you are in Canada or elsewhere, your information is transferred to and processed in the United States, where the laws may differ from those where you live.

How long we keep it

We keep a business's information for as long as its account is open. When an account is closed we delete its information within 90 days, except what the law requires us to keep and copies in routine backups, which expire on their own.

Technical records are kept for a limited period.

Security

Connections to TailGateBid are encrypted, stored data is encrypted, each business's data is kept separate from every other's, and access is limited to the people who need it. No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.

Your choices and rights

You can see and change your account details in Settings. A business owner can ask us for a copy of the business's data, or for it to be deleted.

Depending on where you live, you may have the right to access, correct or delete your personal information, or to object to how it is used. To make a request, write to support@tailgatebid.com. We will not treat you differently for making one.

Emails sent on behalf of a business are about your work with that business. To stop them, tell the business.

Children

TailGateBid is for businesses. It is not directed at children, and we do not knowingly collect information from anyone under 16.

Changes to this policy

When this policy changes we update the date at the top. For significant changes we also tell account holders by email or in the app.
